Job description
StartLab Brussels is looking for an Administrative Officer to ensure the administrative and financial follow-up of the BoostLAB project , funded by the ERDF, and to facilitate its proper execution. 📝✨
✨ CONTEXT:
StartLab Brussels has recently obtained ERDF funding as part of the call for projects "Strengthening the sustainable growth and competitiveness of SMEs". Thanks to this funding, we are consolidating the "LAUNCH" part of our support in order to help young entrepreneurs sustain their project and grow faster. 🚀
The programme aims to meet 3 key objectives:
Promote the creation of SMEs by strengthening the viability of projects.
Increase employment in SMEs by structuring their growth.
Encourage the green transition of SMEs by integrating sustainable strategies into their business models.
It will be based on five key modules, inspiration evenings , group and individual coaching, as well as monthly expert hours. It is aimed at SMEs in the start-up phase, and more specifically at young entrepreneurs wishing to maximize their potential through digital technology and sustainability. In this context, we are looking for a project administrator to ensure the administrative and financial follow-up of the project, guarantee compliance with ERDF obligations and facilitate the coordination of administrative and logistical aspects.
💼 YOUR MISSION:
You will be the administrative and financial guarantor of the ERDF project, ensuring the proper execution of the contractual obligations binding us to this project. In addition, you will facilitate coordination with funders and the internal team. Your role will consist of structuring and organizing the administrative and logistical processes to ensure the smooth running of the program.
You will work closely with the Director, Project Manager, Programme Manager and Marketeer to ensure that key information is collected, documented and transmitted effectively.
👉 YOUR RESPONSIBILITIES:
1. Administrative management and monitoring of ERDF 📝 obligations
Ensure the administrative follow-up of the BoostLAB project, in collaboration with the Director and the Project Manager.
Manage documentation related to the project: archiving deliverables, tracking supporting documents, updating files.
Coordinate the financial and narrative reporting required by the ERDF, ensuring the collection and consolidation of information.
Verify and compile financial and operational data, in conjunction with internal teams and funders.
2. Coordination and logistical 🤝 support
Support the implementation of the project by managing administrative timelines and deadlines.
Liaise with institutional and financial partners for the monitoring of agreements and funding.
Organize and document project follow-up meetings, writing minutes and following up on decisions taken.
Facilitate internal coordination by providing logistical and administrative support to the team.
3. Process management and tool 💻 optimization
Implement and improve the administrative and financial monitoring tools of the project.
Participate in the optimization of internal processes, by facilitating the digitization of documents and the sharing of information.
Ensure rigorous monitoring of performance indicators, in collaboration with the project team.
