Job description

Are you a born organizer with a strong sense of responsibility? At Fost Plus, we are looking for a Management Assistant who brings structure, calm and overview to the day-to-day running of our CEO and the management team.

👉 An overview of the tasks:

  • Direct support and collaboration with the CEO

    • Manage and coordinate the agenda

    • Plan and track one-on-one meetings and actions

    • Proactively inform about important deadlines, responsibilities and commitments

    • Serve as a sounding board and a person of trust

  • Agenda & meeting management

    • Schedule and organize appointments, meetings, and events

    • Prepare agendas, presentations, and meeting folders

    • Take notes in meetings and track action items

  • Email & Document Management

    • Sort, prioritize, and respond to emails

    • Write letters, reports and other documents

    • Maintain and archive management files in a timely manner

  • Statutory support

    • Prepare and organize meetings of the Board of Directors, General Assemblies, Committees and Working Groups

    • Ensure compliance with legal obligations and internal regulations

    • Send official invitations and supporting materials

  • Versatile administrative and operational support

    • Orders (PO), monitoring of general operation and reception of visitors

    • Ad-hoc support for members of the management

Profile

  • You have a higher education degree or at least 3 years of relevant experience in a similar position.

  • You are comfortable with digital tools (Microsoft 365, e-sign, SharePoint, etc.) 💻

  • You communicate in an engaging manner in Dutch and French, and you have a good knowledge of English

  • You work independently and discreetly, and you know how to manage confidential information

  • You are structured, precise and keep an overview, even in busy periods

  • You anticipate and like to plan, organize and adjust if necessary 📆

  • You are service-oriented, empathetic and helpful 🤗
