🚚📦📝 Your responsibilities as a Logistics and Administrative Intern:
Management of internal and external correspondence: manage written communications related to the move (emails, letters), both internal and external.
Update and manage the contact database: keep the contact list of all stakeholders involved in the move up to date (employees, suppliers, subcontractors, partner companies).
Preparation of moving files: Compile and organize the necessary files for each department or employee who moves.
Coordination of moving schedules: assist in the management of schedules related to the different stages of the move (packing, transport, installation in the temporary premises).
Follow-up of orders and deliveries: follow-up of orders for supplies needed for the move (boxes, labels, etc.) and for the work (renovation materials).
Archiving of administrative and financial documents: manage the archiving of documents relating to the move and renovation work (estimates, invoices, contracts).
Support in the management of service providers: assist in the management of relations with service providers (moving companies, construction companies).
Organization of follow-up meetings: the intern could help organize weekly or monthly meetings on the progress of the relocation project.
Occasional assistance to the teams in the field: although his role is mainly administrative, the intern may, on certain occasions, help in the field to coordinate or verify certain stages of the move.
Profile
🎓 Formation
Student in training as an administrative assistant, management or management.
Knowledge of logistics (desired): A first approach or a course in logistics or project management would be a plus, although it is not mandatory.
Knowledge of office automation tools: Proficiency in Office suite software (Excel, Word, Outlook) as well as Microsoft Teams.
👌 Technical skills
Information Management: Ability to organize, classify and archive documents. The intern must be able to structure information in a clear and effective manner.
Written and oral communication: Strong ability to write emails, reports, minutes of meetings, as well as to communicate with internal and external interlocutors (employees, service providers, etc.). Precision and clarity in exchanges are essential.
Follow-up of schedules and prioritization: Mastery of planning techniques, able to manage several tasks simultaneously and prioritize them according to needs.

📆 Availability and duration of the internship
Duration: Given the nature of the project, an intern available for a period of 3 to 4 months would be ideal to cover all phases of the move (preparation, execution, follow-up).
Availability: The intern will need to be flexible in terms of schedules, as some phases of the project may require a presence outside of traditional office hours (especially during critical phases of the move).
